Notetaker agent

You talk. Notetaker handles the rest.

No more ‘wait, what did we agree?’

Never take meeting notes yourself again. The Notetaker agent joins your calls in Zoom, Google Meet or Microsoft Teams, even when you're a guest. It writes down decisions and action items for you and puts them where you want them: in LINK, your CRM or your task list. You approve.

Sound familiar?

The built-in note-taker only sees part of the picture.

Your clients all use a different platform. So you have notes from one call and not from the next.

  • Only when you're the host.

Copilot, Gemini and Zoom's own notes usually only work when you organize the meeting. If the client schedules the call, they decide whether there are notes.

  • Only inside their own platform.

One client is on Teams, another on Zoom or Meet. Each platform makes its own report, in its own format, in its own place.

  • So you miss pieces.

What was decided in one call sits nowhere near what was agreed in another. Action items get dropped, and when someone leaves, the knowledge leaves with them.

How it works

Join, record, follow through.

Notetaker does more than take notes. It follows through on what was decided in the call.

  1. Step 1

    Joins the call

You connect your Outlook or Google calendar yourself. From then on, the agent joins your internal calls in Zoom, Google Meet or Microsoft Teams automatically, even when you're a guest. Calls with external parties you switch on per call. Prefer no bot on screen? Then a desktop app records on your own computer.

  2. Step 2

    Records decisions

After the call, a report is ready in English or in the language of the meeting: decisions, agreements and action items, with who does what. Everything goes into LINK, from every call and every platform.

  3. Step 3

    Sets actions in motion

Action items become to-dos with an owner and a deadline. A follow-up or quote is ready as a draft and the client file is updated. The agent proposes, you decide. We build the integrations with your CRM, quotes and client files.

What you get

What was decided, not just what was said.

No pile of transcripts. Per call: the decisions, the agreements and the action items, with who does what and when.

  • A report after every call, in English or in the language of the meeting.
  • Decisions, agreements and action items kept apart, so you can find them again.
  • From Zoom, Google Meet and Microsoft Teams in the same format.

LINK

Part of LINK.

For every client, we build LINK by WAMELINK to fit: one overview of sales, admin and the data from the tools you already use. Notetaker is part of LINK and adds your meetings to it. LINK is in the name WAMELINK, and connecting is what it does.Action items sit there with an owner, a deadline, a checkbox and a link to the call where they were decided. We connect accounting software like Exact Online, Xero or Moneybird; we don't rebuild it.We use it ourselves every day: that's how we know what was decided in which call.

After the meeting

The work starts after the call.

Standalone note-takers like Jamie or Fireflies give you a report. The agent passes it on to where your work happens, through our automation.

  • As a to-do in LINK

Every action item sits in LINK with an owner, a deadline and a checkbox. We build that, so you don't need a separate task tool. Does your team already use Monday, Asana or Teamleader? Then we connect it too, if you like.

  • A follow-up or quote as a draft

The agent listens in and prepares the email or quote based on what was agreed. You do the sending.

  • In your CRM and client file

Decisions and agreements are added to the client record, with a link to the call. So later, everyone still knows why something was agreed.

We build those integrations to order, along the same route as all our automation work. See how that works →

Privacy

Recording, done properly.

This is how we set it up. No certification, but clear choices you'll find back in the data processing agreement.

  • The agent joins under a name you choose, usually ending in "Notetaker", like "Acme Notetaker", and is recognizable as AI. When it joins, it posts a message in the chat with a link to the privacy statement and how to stop it.
  • It only records calls you take part in yourself. Internal calls are on by default, calls with external parties off by default: you switch those on per call.
  • Recordings and transcripts are processed in the EU. We set the retention period: recordings are deleted after a short time.
  • An AI model writes the summary, and it doesn't train on your conversations. Which service that is and where it runs is in our privacy policy.
  • We don't use your conversations to train AI models. You get a data processing agreement from us.
  • No emotion, sentiment or performance analysis. The agent records decisions and agreements; it doesn't judge people.

Record openly. The agent announces itself, but you remain responsible for letting everyone know the call is being recorded. Especially when you record without a bot, because then there's nobody on screen to say so.
